Working in a remote team requires a shift in how we communicate and manage tasks. In a physical office, coordination happens naturally through quick check-ins or desk visits. In a distributed team, you must be intentional and proactive about your communications to prevent misunderstandings and align with team goals. Following remote collaboration best practices keeps teams productive and connected.

1. Over-Communicate Progress

Since your team cannot see you, you must make your work visible:

  • Share daily updates in Slack/Teams stating what you worked on, what you plan to do, and any blockers you face.
  • Update ticket boards (Jira, Trello) immediately as tasks progress.
  • If you run into an issue, reach out early instead of waiting for the weekly sync meeting.

 

2. Focus on Asynchronous Communication

In remote teams, colleagues may work from different time zones.

  • Write detailed, complete messages. When asking a question, provide full context, error logs, or links.
  • Respect that colleagues may not respond instantly; plan your tasks to avoid being blocked.
  • Use shared documentation tools (like Notion or Confluence) to record technical decisions and meeting notes.

 

3. Turn on Your Video During Calls

It is difficult to build trust and read expressions through voice-only calls. Turn on your webcam during team stand-ups and meetings. This improves social connection, engagement, and helps build personal relationships with colleagues you've never met in person.
