Days turn into a week, and you hear nothing but silence. You want to ask the recruiter for an update, but you fear looking desperate, impatient, or annoying. Knowing how and when to follow up professionally is a critical skill that keeps you on the recruiter's radar without damaging your candidacy.

This guide explains the etiquette of post-interview follow-ups, including correct timing rules, common mistakes to avoid, and exact email templates you can customize.

1. Rule #1: Ask for Timelines Before Leaving the Interview

The best way to plan your follow-up is to set expectations during the interview. Before saying goodbye, always ask the recruiter or hiring manager:

"Thank you for your time today. Could you share what the next steps are in the hiring process and when I can expect to hear feedback?"

If they say you will hear back by Thursday, you know not to email them until Friday morning. If they don't give a timeline, standard industry rules apply.

 

2. The Timeline Roadmap

  • 24 Hours After: The Thank-You Note: Send a brief email thanking the interviewers for their time, referencing a specific topic you discussed, and reiterating your enthusiasm. Do not ask for feedback yet.
  • 5 Business Days After: The First Follow-Up: If the timeline they gave has passed, or if it has been 5 business days since the interview with no contact, send a polite status update inquiry.
